Audiences, Lists, and Segments

Forge's Audiences feature lets you group people based on their event activity and contact data, then use those groups to target communications or analyze engagement.

Audiences

An Audience is a saved, dynamic query over your Salesforce contacts and attendee data. It is re-evaluated each time you use it, so it always reflects the current state of your data. Audiences are configured in the Audiences section of the sidebar.

  • Filter by registration status (Registered, Waitlisted, Checked In, etc.).
  • Filter by ticket type purchased.
  • Filter by session enrollment.
  • Filter by form answer values.
  • Combine multiple conditions with AND / OR logic.
  • Filter by standard Contact fields (industry, title, location).

Lists

A List is a static snapshot of contacts. Unlike an Audience, a List does not automatically update when underlying data changes. Lists are useful when you want a fixed set of people for a one-time communication — for example, everyone who attended last year's conference.

Segments

A Segment is a named subset of an Audience or List, typically used in the Communications tab to target a specific group within an email send. For example, you might create a segment for "VIP ticket holders who have not yet checked in" and send them a reminder.

Using audiences in communications

  1. Go to the Communications tab in the sidebar or in an event workspace.
  2. Click "New Email" or "New SMS".
  3. In the Audience field, select an existing audience or create a new one inline.
  4. Forge evaluates the audience query against your Salesforce data at send time.
  5. The message is sent to every contact in the resolved audience.

Audiences query Salesforce at send time

Audience membership is not pre-computed. When you schedule or send an email, Forge queries Salesforce for all contacts matching the audience definition at that moment. If an attendee's status changes between the time you create the audience and the time the email sends, they will or will not be included based on their status at send time.

Lists contain PII snapshots

Static Lists capture names and email addresses at the time the list is created. Handle saved lists with the same care as any PII export — store them securely and do not share them outside your organization.
