Session Popularity

The Session Popularity report shows enrollment numbers, capacity utilization, and waitlist depth for every session on your event. Use it to identify oversubscribed sessions (candidates for a larger room or a second run) and undersubscribed ones (candidates for promotion).

Sorting and Filtering

The Session Popularity report supports the following filters and sort options:

  • Sort by: Enrollment (descending — most popular first), Utilization %, Waitlist size, Session date/time, Room
  • Filter by: Session track/category, Date (day of event), Room, Enrollment threshold (show only sessions above/below N% utilization)
  • Search: Free-text search on session name

Using Popularity Data

Common actions driven by the Session Popularity report:

Session at 100% with a long waitlistIncrease Maximum Registrants if room allows, or change the room assignment to a larger space; consider scheduling a repeat session
Session under 20% utilizationSend a targeted email to unregistered attendees highlighting the session; review the session description and speaker information for appeal
Multiple sessions in the same time slot all near capacityReview the overall schedule for capacity bottlenecks — consider staggering start times
High check-in rate but low enrollmentInvestigate whether walk-ins are being checked in without prior enrollment; ensure the check-in app is validating session enrollment

Session capacity is enforced in Salesforce

The conference360__Maximum_Registrants__c field on Session__c is the authoritative capacity cap. When this field is set, Forge enforces it during session selection at checkout — once capacity is reached, the session is marked full and enrollments are placed on a session-level waitlist. Setting the field to 0 or blank removes the cap.
